Mail2Sheets (“we”, “us”, “our”) is owned and operated by Manta Ray Creative Ltd and acts as the data controller for the purposes of the EU General Data Protection Regulation (GDPR). This policy is publicly available and linked from our homepage, footer, and OAuth consent screen. For acceptable use and billing rules, see our Terms of Use.

What Google data we access and why

• Google account profile (email, name, basic profile): used only to sign you in and associate your credits and settings. Stored as account records.
• Gmail data (https://www.googleapis.com/auth/gmail.readonly): we read email metadata and message content solely to extract contact information for the date range you select. We do not modify, delete, send, or alter emails. We do not retain Gmail message bodies or metadata after processing.
• Google Sheets data (https://www.googleapis.com/auth/spreadsheets): we only append new rows to the specific Sheet you choose. We do not access or modify any other Google Drive files.
• Usage and billing data: credit balances, audit logs, and Stripe metadata needed to fulfill the service and support billing.

How we use and store data

• Gmail message bodies/metadata are processed in memory to extract contact fields and then discarded; we do not store them on our servers.
• Extracted contact fields (email, full name, organisation, website, job title, phone, date) are stored only in the Google Sheet you authorized, not on our servers.
• Account/profile, auth tokens, and billing records are stored as long as you have an account or as required by law.
• We do not sell data. We do not share data with third parties except as required by law.

Data retention

• Gmail message bodies and metadata: not retained after the extraction completes.
• Extracted contact fields: stored only in your Google Sheet; not stored on our servers.
• Account, billing, and operational logs: retained as long as needed to operate the service and meet legal obligations.

How to delete your data

You can request deletion of your account data by emailing support@mail2sheets.com. If you revoke Google access (see below), any remaining synced data in your Google Sheet remains under your control.

You may revoke the app’s access to your Google Account at any time by visiting https://myaccount.google.com/permissions.

Legal basis

We process personal data under Article 6(1)(b) GDPR (contract) to deliver the Mail2Sheets service you request, and Article 6(1)(f) GDPR (legitimate interests) to maintain security and prevent abuse.

Security

We use HTTPS for data in transit and limit operational access to staff who need it to run or support the service.
